Slidecrew handles presentation file uploads in a way that helps staff and speakers to easily submit, update, and prepare files for event delivery, with built-in checks and version control.
The Programme page displays sessions and presentations in columns by room, with colour-coded status.
Upload Options
There are three ways to upload a presentation:

- Via the Event Portal
Staff members can upload files on behalf of speakers.
Searching for a speaker will open a pop-up with all the information, forms and commitments for that speaker, including slots to drag and drop their file uploads. - Via the Speaker Upload Page
Each speaker has a personal upload page that can be sent to them through the email campaign manager before the event.
The upload page has drag and drop areas for each presentation the speaker is allocated to, allowing them to upload or update files anytime. - Via the Speaker Service Centre App (on-site)
At the event, speakers can preview, edit, or upload files at self-check stations in the speaker service centre.
Replace or Update a File Easily
If a presentation needs to be replaced or updated, the process is simple:
- Upload a new file with the same file name
- Slidecrew replaces the old version automatically
- Only the latest file is visible, but previous file versions can be found and managed if the local caching server is running at your event.
This avoids clutter and confusion.
Checking Presentation File Uploads
Slidecrew does not make any edits to files; however, each presentation or video uploaded is checked for potential issues, and a report is generated for staff to view in the event portal.
How to View Check Results
- Go to the session or speaker tab in the portal
- Click the three dots next to the file
- Choose “View info”
The file analysis tool will automatically check and report:
- Number of slides and hidden slides
- Aspect ratio
- Font compatibility
- Video details (slide location, file type, duration)
- Image file size
- External file or media links
Slidecrew can convert non-standard videos to MP4 format to help avoid playback issues.
Supported File Types
The checker can scan:
- PowerPoint (.ppt/.pptx)
- PDF files
- Embedded or standalone videos
- Images
Marking files as Checked
Freshly uploaded files are marked with a yellow “unchecked” tag in the apps and portal. Only once a presenter has checked their files in the Speaker Service Centre should their files be changed to “checked” and show a green tag in the apps and portal. This can happen in two ways:
- Speaker Service Centre App:
When a presenter logs out after reviewing their files, all files are changed to “Checked”. - Portal Review:
Staff can manually approve files one by one after checking them.
Device Compatibility Tip
Slidecrew only handles presentation file upload and distribution, sending files to the room computer using the technician and Kiosk Apps.
Files are played using the default software, like PowerPoint. So, to avoid issues with fonts or layout, use the same device setup for file checking at the Speaker Service Centre as you will be using in the presentation rooms, including the same versions of software like PowerPoint and installing any custom fonts.
